2. Information We Collect and Scopes Required To provide our search, preview, and AI-powered analysis services, BI Smart Search requires access to the following Google services:

  • Google Drive (Read-Only): We use the drive.readonly scope to access the specific Google Drive folder URL provided by you, allowing the app to list files (such as PDFs, TXT, etc.) for search and preview purposes.
  • Google Sheets & Docs (Standard Access): Due to the technical limitations of Google Apps Script, our application requires standard scopes (auth/spreadsheets, auth/documents) to open and read the content of your documents for AI summarization.
  • Please Note: Although the Google authorization screen may state that the app can “edit, create, and delete” files, our application’s code is strictly written to perform read-only operations. We do not have any functionality to modify or delete your files.
  • External Requests (Connect to an external service): We use the script.external_request scope to securely transmit the text data of a specific file (only when explicitly initiated by the user via the “Smart AI” button) to the Google Gemini API. This is necessary to generate dashboards, summaries, and power the Q&A chatbot.
  • User Info (Email): We access your email address solely to verify your identity and manage user licensing/access control within your organization.

3. How We Use Your Data The data accessed from your Google account is used strictly for the following functional purposes:

  • Search Functionality: To scan the contents of the Google Drive folder you provide and find relevant data matching your search keywords.
  • Data Preview: To display a secure, read-only preview of the search results within the application interface.
  • AI Analysis & Insights: When you click the “Smart AI” button, the text content of that specific file is temporarily sent to the secure Google Gemini API. This is used solely to generate visual dashboards, executive summaries, and answer your specific chat queries.
  • Access Verification: To confirm that you have the necessary permissions to view the files you are searching.

Our Commitment to Data Protection & AI Privacy: We strictly adhere to a Read-Only operational policy. The application does not write, modify, or delete any data in your Google Drive. We do not transfer, sell, or share your data with any third-party marketing or advertising companies.

Important AI Privacy Notice: Data transmitted to the Google Gemini API is processed using a secure, paid Enterprise API tier. Your data is processed in real-time and is NOT used by Google to train their public AI models. We do not store your file contents on any external databases or servers.

4. Limited Use Policy BI Smart Search’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

5.Data Security We implement appropriate security measures to protect your data against unauthorized access. Since the application runs directly within the secure Google Workspace environment, it benefits from Google’s robust security infrastructure. Data transmitted to the AI API is encrypted in transit. Your data remains in your Google Drive; we only fetch it temporarily to display search results or generate real-time AI insights on your screen.
